How the mail-in process works

Three steps before the package leaves you.

Visit an acceptance facility

Take all of your documents to an acceptance facility before mailing them to the Sameday Passport & Visa Arlington office. An acceptance facility is an office authorized by the U.S. Department of State to execute your passport application.

There is only a selected office you can go to, but Sameday Passport & Visa will assist you in finding one. Call (469) 567-8789 first.

Sign in front of the agent

Sign your application in front of them. They will charge you a $35 execution fee. Do not sign the DS-11 before you get there.

Take the sealed envelope, do not open it

They will put all of your documents in an envelope, seal it, and return it to you. Do not open the envelope afterwards. Mail it to the Arlington office with the second Letter of Authorization and the Service Order Form.

What to send

Everything that goes in the package.

  • Proof of U.S. citizenship — original long-form birth certificate, Naturalization certificate, or a previous U.S. passport
  • A copy of your driver’s license or ID — front and back (a child needs both parents’ IDs)
  • Two passport photos — 2 x 2 inches, on a white background
  • A personal check or money order — $213.36 adult, or $183.36 child, payable to the U.S. Department of State
  • A travel itinerary — if you are traveling within 14 days
  • Form DS-11 — completed and printed, do not sign it yet

Complete the DS-11

Fill out Form DS-11, then print it. Do not sign it until an acceptance agent instructs you to. You must provide a Social Security number if you have one.

Two Letters of Authorization

Check the first two boxes only and do not fill out the courier company until you call Sameday Passport & Visa. Include one letter in your package, and send the second with the package after the acceptance facility seals it. For a minor (16 or under), both parents sign.

Service Order Form

Print and complete the Service Order Form and send it with the extra Letter of Authorization and the sealed package.

Proof of U.S. citizenship

Provide an original or certified copy of one of the following:

  • A certified birth certificate, long form (not abstract)
  • A Consular Report of Birth Abroad
  • A Certificate of Naturalization
  • For a minor, a certified long-form birth certificate is required, plus a previous passport if available

Personal check or money order

Payable to the U.S. Department of State: $213.36 for an adult, or $183.36 for a child under 16. Do not send cash.

Copy of valid ID

A front and back copy of your driver’s license or state ID. For a child, include copies of both parents’ IDs.

Passport photos

Two passport photos, 2x2 inches, white background, taken within the last 6 months. Sameday Passport & Visa can take them for $20 if you visit the Arlington office first.

Government expedite fees must be paid by cashier’s check or money order, payable to “US Department of State”. Emergency replacement and limited validity replacement passports depend upon application type.

Sameday Passport & Visa also lets clients pay everything by debit card, cash or check and will obtain the money order for an additional fee of $10.00.

  • Return shipping is optional. Sameday Passport & Visa only returns passports using FedEx.
  • Include a prepaid return air bill and there is no FedEx charge from Sameday Passport & Visa.
  • Give a FedEx account number and Sameday Passport & Visa generates the air bill for an additional $5 on your work order.
  • Passport photos taken at the Arlington office cost $20 if you stop in before mailing.

Mailing in a new passport from Arlington

Do I still have to appear in person if I apply for a new passport by mail?
Yes, once. A first-time or new passport application must be executed in front of an acceptance agent, so you take your documents to an acceptance facility, sign the DS-11 there, and pay the $35 execution fee. The facility seals your documents in an envelope and hands it back to you. From that point the process is by mail: you send the sealed envelope to Sameday Passport & Visa in Arlington and nothing else needs to be done in person.
Can I open the sealed envelope to check it?
No. Do not open the envelope after the acceptance facility seals it. An opened envelope is rejected by the Passport Agency and the execution has to be done again, which costs another $35 and several days. Call the Arlington office at (469) 567-8789 if you are unsure whether something is inside it.
Which acceptance facility should I use?
There is only a selected office you can go to, but Sameday Passport & Visa will assist you in finding one. Call (469) 567-8789 before you go, or search the U.S. Department of State facility directory. Not every post office or clerk’s office executes applications on the same schedule, so confirming first saves a wasted trip.
What do I mail to Sameday Passport & Visa?
The sealed envelope from the acceptance facility, plus the second Letter of Authorization and the completed Service Order Form. Inside the sealed package: proof of U.S. citizenship, a copy of your ID front and back, two passport photos, the personal check or money order for $213.36 adult or $183.36 child payable to the U.S. Department of State, your travel itinerary if you travel within 14 days, the completed DS-11, and one Letter of Authorization.
How much does a mail-in new passport cost?
Three parts. The government fee of $213.36 for an adult or $183.36 for a child under 16, paid by personal check or money order to the U.S. Department of State, plus the $35.00 execution fee paid at the acceptance facility. The Sameday Passport & Visa service fee, from $199 for 4 to 6 weeks to $399 for 4 to 7 days. And optional FedEx return shipping from $48.00.
How fast is the mail-in service?
The same four speeds as walking in: 4 to 7 days, 10 to 14 days, 21 days, or 4 to 6 weeks. The clock starts when the complete application reaches the Passport Agency, so allow for the transit time of your package in each direction. If your trip is close, call the Arlington office at (469) 567-8789 before mailing and Sameday Passport & Visa will tell you whether the date is reachable.
Do I need two Letters of Authorization?
